Office relocation in Bangkok, planned around the building, not the truck

In a Bangkok tower, the lift booking decides the schedule long before the vehicles do. Asia Relocation Thailand surveys both addresses, obtains the access windows in writing, and moves your company department by department so Monday works.

An office move is measured in downtime, not in kilometres. Two floors of a Bangkok tower can be harder than a shipment to another province, because the constraint is never the distance: it is the goods lift, the loading bay, and the hours the building will allow the work to happen.

So the survey comes first, and it looks at the buildings as much as at the furniture. Volume, IT infrastructure, archives, dismantling, and the access rules at both addresses. Out of it comes a phased plan — department by department, labelled by destination desk — rather than a single day everyone dreads.

Asia Relocation Thailand has run these projects since 2011, with in-house crews and one project lead who stays on the file from that first survey to the moment the last workstation is switched on.

The perimeter

What we move, and what belongs to another team

An office move touches property, IT and HR at once. The second column says which of those we are not.

Carried by the service

  • The survey and the plan — volume, equipment, access rules at both addresses, turned into a phased schedule with dates.
  • Building clearance: lift bookings, dock slots and the written approvals both towers require before the day.
  • Packing and dismantling of furniture, workstations and archives, everything labelled to its destination desk.
  • IT on its own track: dedicated packing, a separate inventory, loaded last and delivered first.
  • Delivery and reinstallation to the agreed floor plan, with a walk-through against the inventory before we leave.

The plan and its exclusions are written into the quotation.

A different service

  • Finding the premises. Choosing and negotiating the new floor is office search, a different team and a different silo.
  • Reconnecting the network. We position and cable-manage; your IT provider commissions the servers and signs off the systems.
  • The staff who follow the office. Homes for arriving employees are relocation services, not part of this move.
  • Company vehicles. A fleet changing site travels on its own file: vehicle transport.
  • Cover, and the gap between two leases. Moving insurance is quoted separately, and storage in Thailand holds a floor's worth of furniture between dates.

All of these can sit on the same project and the same dates. Say so at the survey.

Types of move

Five shapes of office move, and what each one really costs you

The scope changes the plan far more than the size does.

Floor to floor, same tower

The shortest distance and often the tightest rules: one goods lift serving both ends, a single booking window, and a building that wants the corridors clear by morning. Sequenced in waves rather than moved in one push.

Internal

Across Bangkok

Sathorn to Asok, Silom to Rama IX. Two sets of building rules, two access windows that have to be made to meet, and traffic that decides when the vehicles can realistically run between them.

Crosstown

Out to the provinces

Chiang Mai, Phuket, the Eastern Seaboard and its industrial estates. Road work rather than freight, with vehicles matched to the access at the far end — an estate loading dock and a shophouse are not the same delivery.

Upcountry

Consolidating several sites

Three offices becoming one, usually with more furniture than the new floor can hold. The inventory is what makes this work: what moves, what is stored, what is disposed of, decided before anything is packed.

Consolidation

Taking the office abroad

Export packing, customs documentation, sea or air freight, and delivery at the destination office. Same survey, same inventory, with the border formalities added on top rather than a separate exercise.

International
How it works

From the survey to the first working Monday

  1. Survey, on site and at both ends

Volume, furniture, IT, archives, and what the two buildings allow. Half of what we learn here is about doors, lifts and hours rather than about your equipment.

  2. The plan, and the access windows

A phased schedule by department, with lift and dock slots booked in writing at both addresses. This is where a Bangkok move is won or lost.

  3. Labelling and dismantling

Every crate carries its destination desk, not just a floor. Workstations come apart with their fixings bagged and tagged, so reassembly is not an archaeology exercise.

  4. The move itself, usually out of hours

Evening, weekend or public holiday, with IT loaded last and delivered first. The teams that must be operational first are unpacked first, by design rather than by luck.

  5. Reinstallation and walk-through

Furniture rebuilt to the floor plan, cables run, then a walk-through against the inventory with your facility manager. Anything outstanding is written down before we leave the site.

Who it's for

Four kinds of organisation, four different priorities

Multinationals and regional headquarters

Reporting lines in three countries and a board that wants dates. One project lead, written milestones, and no surprise on the invoice.

SMEs and growing startups

Usually moving because they have outgrown the floor. Budget matters, and so does the fact that nobody internally has run a move before.

Embassies, NGOs and institutions

Confidentiality is the constraint before logistics: sealed archives, a named chain of custody, and staff cleared for the rooms they enter.

Facility and HR managers

The people who carry the move on top of their own job. What they need from us is fewer decisions to make, not more options to weigh.

Bangkok and beyond

The CBD, and the provinces companies actually move to

Collection and delivery anywhere in Thailand, with the access checked before the date is fixed.

Most of this work happens between Bangkok towers — Sathorn, Silom, Asok, Rama IX — where the difficulty is administrative rather than physical. But a growing share of it leaves the capital: manufacturing groups moving offices onto the Eastern Seaboard, and companies opening in Chiang Mai or Phuket while keeping a Bangkok presence.

Those two situations need different vehicles and different plans, and confusing them is how a move ends up with a lorry that cannot reach the dock. We look at the far end before we quote, whichever of the two it is.

FAQ

What facility managers ask before the survey

What decides how long an office move in Bangkok takes?
Three things, in this order: the access windows the two buildings grant, the volume once it is surveyed, and whether the move crosses a border. Distance is rarely the constraint. We survey first and publish a dated plan, because a schedule written before the buildings have answered is a guess.
Do you deal with the building management on both sides?
Yes, and it is a large part of the job in Bangkok. Goods lifts are booked, loading bays are shared, and towers set their own hours for this kind of work. We obtain the approvals in writing at both addresses before a single crate is packed.
How are servers and confidential files handled?
Separately from the furniture, and on their own inventory. IT equipment is packed in dedicated materials, archives stay sealed and numbered, and both are loaded last and delivered first so the technical restart can begin while the desks are still arriving.
Can you move us outside working hours?
Yes, and most Bangkok office moves happen that way: an evening, a weekend, or a public holiday. What makes it work is not the hour but the sequencing, department by department, so that the people who need to be operational on Monday are the ones unpacked first.
Can you move an office to another province?
Yes. Chiang Mai, Phuket, the Eastern Seaboard and the industrial estates around them are road work rather than freight: a planned route, vehicles matched to the access at both ends, and the same inventory discipline. No customs file, and one contact for the whole movement.
Do you take the office abroad as well?
We do. Export-grade packing, the customs documentation, sea or air freight, and delivery at the destination office. It runs on the same survey and the same inventory as a domestic move, with the border formalities added rather than a different service.
Who do you work with inside the company?
Usually a facility manager, an HR lead and someone from IT, with one of them owning the decision. We work to a single point of contact on your side and give you one on ours, because an office move fails on communication far more often than on logistics.
What does an office move cost?
Volume drives it, then the access at both addresses, the amount of IT and archive work, whether the move is domestic or international, and the hours it has to run in. Only a survey turns that into a figure, and the figure we give is written, with its exclusions.
