Office relocation in Ho Chi Minh City, where the building sets the date

Two floors apart or two provinces apart, the same three things decide when your office can move: the lift reservation, the parking permit and the hours the building allows. Asia Relocation Vietnam settles those first, then measures the volume, then quotes.

The shortest office move we do is between two floors of the same tower, and it is not the easiest. A managed building in Ho Chi Minh City decides when a lift can be reserved, where a lorry may stand, and which hours this kind of work is permitted in. Until those three answers exist, a moving date is a wish.

Then comes the measurement. Everything else — crews, vehicles, packing materials, and the container solution if the office is leaving the country — follows from the volume in cubic metres, established by survey rather than over the phone.

Asia Relocation Vietnam handles both halves in house: the negotiation with property management and the operation itself, from dismantling to the moment the last cabinet is back against a wall. One project lead, one inventory, one written scope.

The perimeter

What the project covers, and what it deliberately does not

Three trades meet on an office move. This page is only one of them, and says so.

Carried by the service

  • The building negotiation — lift reservations, parking permits and permitted hours, agreed with property management at both addresses.
  • A measured volume in cubic metres, from an on-site survey, with the access constraints noted alongside it.
  • Packing, crating and dismantling of furniture, workstations and archives, labelled by department and destination.
  • An inventory line per asset: every rack, cabinet and archive box documented before it is loaded.
  • Delivery, reassembly and positioning to your floor plan, then a check against the inventory before the site is handed back.

Scope, phasing and exclusions are written into the quotation.

A different service

  • Finding the premises. Searching and negotiating the new floor is our office space service, in the Relocation silo.
  • Commissioning the systems. We position hardware and manage the cabling; your IT team or provider brings the network back up and signs it off.
  • The staff and their homes. Employees arriving with the office are handled by relocation services.
  • Motorbikes and company cars. They travel under customs and transport rules of their own: vehicle transport.
  • Cover, and furniture between two leases. Moving insurance is quoted on its own terms, and storage in Vietnam holds what the new floor is not ready for.

Any of these can share the project and the dates. Raise it at the survey.

Types of move

Five distances, and why the shortest is rarely the simplest

What changes between them is the paperwork and the access, far more than the mileage.

Between two floors

The move that looks like nothing and books a lift for two nights. One building, one set of rules, and a corridor that has to be clear before the morning. Sequenced by department, with the same labelling as a shipment.

Internal

District to district in Ho Chi Minh City

District 1 to Thu Duc, Binh Thanh to District 7. Two buildings to satisfy, two permits to obtain, and a run between them that has to fit into the hours the city and the towers both allow.

Crosstown

Hanoi, Da Nang and the provinces

Inter-provincial moves with crews and vehicles matched to the far end — an industrial park loading bay and an old town street are not the same delivery, and the survey looks at both ends before a lorry is chosen.

Nationwide

Several sites into one

Consolidation, where the real work is deciding what does not travel. The inventory is built first: what moves, what is stored, what is disposed of — agreed on paper before a single desk is dismantled.

Consolidation

Out of Vietnam

Export documentation, customs clearance, and sea or air freight chosen against the measured volume. The same inventory follows the shipment abroad, and the delivery is made into the destination office rather than to a warehouse.

International
How it works

From the building's answer to the last cabinet in place

  1. The survey, and the cubic metres

On site, at both addresses: volume, equipment, archives, and what the doors and lifts will actually take. This measurement is the base of everything quoted afterwards.

  2. Property management, in writing

Lift reservation, parking permit, permitted hours. Obtained at both ends before dates are promised to anyone internally, because this is the approval that moves last if it is asked for last.

  3. Inventory and labelling

Each workstation, rack, cabinet and archive box recorded and marked to its destination. Crating for whatever is fragile or valuable enough to warrant it.

  4. Packing outside working hours

Where the operation cannot pause, packing and crating happen in the evenings, department by department, with IT sequenced first so the technical restart is not the last thing to begin.

  5. Delivery, reassembly, verification

Furniture rebuilt to the floor plan, equipment positioned, then a walk-through against the inventory with your facility manager. What is outstanding is written down, with a name against it.

Who it's for

Four organisations, four things they are afraid of

Multinationals and regional offices

Afraid of the unbudgeted line. They get a measured volume, a written scope, and a figure that does not move unless the brief does.

Representative offices and start-ups

Afraid of losing days. Small volumes, tight budgets, and usually a first move — so the plan has to be explainable, not just executable.

Facility and mobility managers

Afraid of the building saying no. That is the part we take off their desk: the permits, the reservations and the hours, negotiated at both addresses.

Companies leaving or entering Vietnam

Afraid of what happens at the border. Export documents, clearance and freight are run by the same team that packed the office, on one inventory.

Cities we cover

Ho Chi Minh City, Hanoi, Da Nang — and the road between them

Collection and delivery nationwide, with both ends surveyed before a date is agreed.

Most of this work happens in Ho Chi Minh City, where the towers of District 1 sit alongside the newer buildings of Thu Duc and District 7, each with its own management and its own idea of when a move may take place. Hanoi runs on the same logic with different buildings, and Da Nang adds the distance.

Between the three, the constraint is rarely the road. It is arriving at a building with an approval that matches the hour on the permit, which is why we ask about the far end early and put the answer in the plan rather than in a phone call the night before.

FAQ

What facility managers ask before we survey

Can you move us within the same building or the same district?
Yes, and short moves are not simple ones. A transfer between two floors still needs the lift reserved, the parking arranged and the work done inside the hours the building allows. We apply the same packing, labelling and inventory discipline we would use for a shipment abroad.
Who deals with the building management?
We do, at both addresses, and we start there rather than finish there. Lift reservations, parking permits and permitted working hours are agreed with property management before packing begins, because in Ho Chi Minh City that approval is what fixes the date.
Why does everything start with a volume in cubic metres?
Because it is what a quote is actually built on: crews, vehicles, packing materials and, for a shipment abroad, the container solution. A survey establishes it on site. A figure given before that measurement exists is not a quote, it is an opinion.
How do you keep the business running during the move?
By phasing it against your calendar rather than ours. Packing and crating can be done outside working hours, departments move in sequence, and IT is given priority so the technical restart begins first. Every workstation and archive is documented before it is loaded.
How is IT equipment handled?
Server racks, workstations and cabinets are inventoried individually, packed in protective materials suited to the equipment, and crated where it warrants one. They travel apart from the furniture and are reinstalled first, against your floor plan rather than against a memory of it.
Do you handle office moves outside Ho Chi Minh City?
Yes. Hanoi, Da Nang and inter-provincial moves are part of the service, with vehicles and crews matched to the access at the far end. The plan changes with the distance; the survey, the inventory and the sign-off do not.
Can you take the office out of Vietnam?
We manage the export documentation, customs clearance, and sea or air freight to the destination office. The volume assessment decides the container solution, and the same inventory follows the shipment from the survey to the delivery at the other end.
What makes one office move cost more than another?
Volume first, then the access at both buildings, the hours the work must run in, the amount of IT and archive handling, and whether the move crosses a border. We put the figure in writing after the survey, with what it excludes stated as clearly as what it covers.
