Residence card cancellation: closing the file before the flight, not after it

Every other page in this silo opens something. This one closes it — and it is the step a departure most often forgets. Asia Relocation Vietnam puts it in the move-out calendar in-house, where it belongs.

Filed at the Immigration Department Departures and status changes Individuals and whole postings
3documents at the centre: the passport, the card, the proof
2reasons it is filed: a departure, or a change of status
1deadline nobody in the file controls: the flight
1calendar shared with the move-out, not a separate one

Arriving in Vietnam is a sequence people plan. Leaving is the sequence they do not, and the residence card is where that shows. The application to cancel it goes to the Immigration Department with the card, a valid passport and proof of the departure or of the change in your residency status — in the same fortnight as the handover of a home, a last working day and a flight.

That is what makes this the odd page of the silo. The date here is set outside the file: a removal van, a last working day, a flight. Left until the final week, it becomes a scramble for a card already packed.

Asia Relocation Vietnam treats the cancellation as part of the move-out rather than an errand after it. We fix the date by working backwards from the flight, confirm what your case needs while there is time to find it, and file while everyone is still in the country.

What closing involves

What we close, and what a leaving involves that is not this

A departure has several endings; this page is the immigration one.

Carried by us

  • The date, worked backwards. Fixed against the flight and the end of the tenancy, at the start of the move-out rather than its last week.
  • The situation, read first. Cancellation covers a permanent departure and other reasons alike, and we establish which yours is.
  • The documents. The card, the passport and the proof your case calls for, confirmed before anything is packed.
  • The filing. Lodged with the Immigration Department and followed up, for one person or a whole posting.
  • The household, together. Whatever the family holds, gathered into one coordinated set rather than handled one person at a time.

Quoted per person in writing, before the move-out begins.

Other endings, other desks

  • Leaving and coming back. If you are travelling rather than going for good, that is an exit and re-entry permit.
  • The card you are closing. Applications and renewals live at temporary resident card.
  • The longer status. Holders of a permanent resident card cancel that card through this same service.
  • The home and the shipment. The move itself is handled by our Vietnam moving teams, on the same calendar as this filing.
  • Anything an employer owes. Payroll, benefits and company obligations are not part of this filing; we say so rather than implying otherwise.

One company, one calendar, if you want the move handled too.

Five departures

Five ways a stay in Vietnam comes to an end

Same filing, very different calendars — and the calendar is what goes wrong.

A posting that has run its course

The assignment ends on a known date and everything else is arranged around it. The cleanest case, and still the one left latest.

Assignment

A family leaving at the end of term

Several cards, one flight, a school year that dictates the date. We close the household together rather than discovering one more card on the way to the airport.

Household

A departure decided at short notice

A role cut, a family reason, a change of plan. Short notice makes the sequence matter more, not less; we start with what is far easier done before the move than after it.

Short notice

A status that changes without a flight

Cancellation is also filed for reasons other than leaving. We establish what your situation calls for before anything is lodged, rather than assuming.

Status change

Several postings closing at once

An office reducing its foreign staff, or a project ending. One coordinator, one list, and HR told at the outset how the group will be handled.

Corporate
The order of a leaving

Start from the flight and work backwards

  1. Fix the date first

Before anything is gathered, we place the filing between the end of the tenancy and the departure. The rest of the move-out is then planned around a date that exists.

  2. Establish which situation it is

Leaving Vietnam permanently, or cancelling for another reason. The consultation settles that, and it is where we assess what your case requires.

  3. Gather before the packing

The card, the passport and the proof your case calls for, collected while they are still in a drawer rather than in a carton on a ship.

  4. File at the Immigration Department

Lodged and followed up ahead of the move rather than after it, with the household handled as one set.

  5. Leave with the file closed

You go with our written record of what was filed and when — the whole point of doing this before the flight rather than remembering it afterwards.

Who needs it

Four people at the end of something in Vietnam

Assignees whose posting has ended

Weeks of handover, a farewell dinner, and one administrative step nobody put on the list. It is the step that closes the file properly.

Families moving on to the next country

Several cards, a school calendar and a shipment. The immigration side has to fit inside a fortnight that is already full.

HR teams closing postings

Mobility managers who opened these files years ago and now have to close them, often for several people in the same quarter, from another country.

Residents whose circumstances have changed

Staying in Vietnam, but not on the basis the card was issued against. The filing exists for that too, and the reading comes before it.

The last fortnight

The only file in this silo with a deadline set by an airline

Far easier to complete before the move than after it — which is the constraint everything else bends around.

The last two weeks of a posting are crowded. The home is handed back, the shipment is collected, the invoices land and somebody is still working. The cancellation fits in there, handled by our consultants in Ho Chi Minh City, Hanoi and Da Nang, with a card that must not already be in a box.

Because Asia Relocation Vietnam runs the immigration side and the move itself from one country structure, the two calendars are drawn together rather than discovered in conflict. Where a departure is arranged from abroad, we tell the employer at the outset what is far easier settled before the departure than after it — the advice that saves the most trouble on this page.

FAQ

What people ask in the last weeks of a stay in Vietnam

Do we really have to cancel the card when we leave?
It is the step that closes your file properly, and it is the one people skip because the flight feels like the end of the story. The chain of documents you built on arrival has to be unwound as deliberately as it was put together.
When should it be done, relative to the flight?
We work backwards from the departure, not forwards from the last working day. The date sits between the end of the tenancy and the flight, and it is far easier to hold when it is fixed at the start of the move-out rather than in its final week.
What has to be gathered?
A valid passport, the card itself, and proof of the departure or of the change in your residency status. We confirm what your particular case needs before the packing starts, because a card that has been mislaid in a box is a problem with a deadline attached.
We have already left Vietnam. Is it too late?
Talk to us rather than assuming either way. We establish what can still be filed, by whom, and with which documents, and we tell you plainly if the answer is unsatisfying.
We are not leaving, but my status is changing. Does this apply?
It can. Cancellation covers leaving the country permanently and cancelling the card for other reasons, and a change in residency status is one of them. We read your case before anything is filed, and the consultation is where we assess what it requires.
Can someone else handle it once the employee has flown?
That depends on the case, and it is the first thing we establish rather than assume. Where an employer is closing several postings at once, we tell HR at the outset what is far easier settled while each person is still in the country.
Can this run alongside the move-out?
It should, and that is the argument for having one company hold both. Asia Relocation Vietnam plans the filing against the same calendar as the handover of the home and the shipment, so nothing waits for a signature from someone who has already gone.
What do we end up with?
A filing lodged with the Immigration Department and followed through, and our own written record of what went in and when. You leave knowing the step was completed rather than hoping that it was.
