The Vietnam business visa, and the invitation we open with your host first

The invitation is where the work starts, and everything else is built around what it produces. Asia Relocation Vietnam carries your side and works with your host in Vietnam on theirs.

The application is assembled around a business invitation letter, evidence of the activity being invited and a valid passport, and lodged with the Immigration Department. The letter is the piece we take in hand with your host in Vietnam, and we build the applicant's side to match what it says.

Negotiations, supplier audits, board meetings, a week of site inspections: commercial travel belongs here rather than on a leisure entry, and the distinction is one that gets examined. We treat the invitation as the first piece of work rather than the last, and we settle what the trip is really for before anything is lodged.

Asia Relocation Vietnam works both ends of that. We open the conversation with the host company while there is still time, match the purpose of the visit to the entry that fits it, assemble the sponsorship and the applicant's side together, and settle the entry approval before the trip rests on a decision taken at a counter on the day.

The sponsorship

What the sponsorship file carries, and what belongs to the employment route

Two sides feed one application: the sponsorship, and yours.

Held on our side

  • The host company's part. We approach the host organisation directly and explain what the invitation has to establish, rather than leaving it to a colleague who has never written one.
  • The purpose, matched to the entry. What you will actually do here, read against what this visa is for, before a form is filled in.
  • The applicant's part. Passport, the evidence that the activity is real, and whatever your particular case adds to that.
  • The lodging and the approval. Submitted to the Immigration Department and pursued, with the entry approval settled ahead of the dates.
  • Renewals and extensions. Opened while the current stay still has room, for travellers whose work here has grown.

Quoted per trip before anyone approaches the host company.

Different route, different file

Say which one your situation has turned into and we open it.

Five trips

Five business trips, and the evidence each one rests on

One category, five kinds of evidence — and we establish which is yours before the file is opened.

A round of negotiations with a Vietnamese partner

The relationship exists and the counterpart is willing to invite. The work is making the letter say what the file needs it to say.

Negotiation

A supplier audit or a factory inspection

Days on a site, often outside a city, sometimes across provinces. We establish early which entity is hosting, because on an audit that is rarely obvious.

Audit

A board meeting, a conference, a company event

Several travellers, one date that cannot move, passports from different countries. Filed as one coordinated set rather than as unrelated applications.

Board

Commissioning, training or a technical handover

Specialists sent to install or to teach. This is where the boundary with the employment route has to be read honestly, and we read it first.

Technical

A stay that has outgrown the trip it started as

The project extended, the client asked for more. Renewal and extension exist for that, and both are work we would rather start while the stay still has room.

Extension
From invitation to approval

The letter first, because everything else waits on it

  1. Describe the trip as it will really happen

Not the department that budgeted it — what will be done, with whom, on which sites. This is what tells us whether this visa is the right one at all.

  2. Reach the host company early

We contact your host in Vietnam ourselves, set out what the invitation has to establish, and take the drafting out of an inbox where it would wait.

  3. Assemble both sides into one file

The sponsorship documents and the traveller's, read against each other so the application does not describe two different visits.

  4. Lodge and secure the entry approval

Submitted to the Immigration Department and followed up, so the approval exists before flights are confirmed rather than at an airport counter.

  5. Keep the file open for the next trip

The host company's documents and the sponsorship history stay with your coordinator, so the next application starts from what is already on file.

Who travels on it

Four travellers, and what each trip has to show

Executives with a Vietnamese counterpart

Commercial directors, partners, founders. They travel late, and they assume the invitation can be produced at short notice by somebody they have met twice.

Quality and sourcing teams

Auditors and inspectors working across suppliers and provinces, for whom the hosting entity changes from one trip to the next.

Mobility and travel managers

They book Vietnam repeatedly for colleagues who never file their own paperwork, and need one point of accountability rather than a different answer each quarter.

Specialists sent to build or to teach

Engineers commissioning a line, trainers running a handover. Their trips are the ones where we read the boundary with the employment route first.

Your host in Vietnam

Your host in Vietnam, and why we approach them first

The document we go and open first, before the rest of the file exists.

A client in Ho Chi Minh City, a plant in a province outside Hanoi, a distributor in Da Nang, a venue booked by a trade body. Whoever is hosting you, we deal with them as a relationship rather than as an administrative step, and we do it early enough for the answer to be useful.

We deal with those organisations in Vietnamese, on the ground, as Asia Relocation Vietnam rather than as a message forwarded from abroad. Where a traveller has several hosts, we keep one record of who sponsored what, so a compliance question later has an answer that is written down.

FAQ

What business travellers and their sponsors ask

Can I not just come in on an ordinary visitor entry?
Commercial travel belongs on a business visa rather than on a leisure entry, and the distinction is one that gets examined. We settle which entry your trip belongs on before anything is filed, so the purpose on the file and the purpose on the calendar cannot disagree.
What does the invitation have to establish, and when should we start?
We open that question with your host in Vietnam ourselves, and the honest answer on timing is: before anything else. We set out what the invitation has to establish and take the drafting out of an inbox where it would wait, because the rest of the file is built on what it says.
Does this visa let me take a job in Vietnam?
Employment is decided on the labour side, on separate pages, and it starts with the employer rather than with you. If what you call a business trip is in substance the start of a posting, we say so before anything is filed.
What counts as proof of business activity?
Whatever shows the visit is what the invitation says it is: the relationship behind it, the meetings arranged, the site being audited. We tell you which documents you already hold do that work before asking for anything new.
We send people to Vietnam constantly. Can this be a standing arrangement?
That is how corporate accounts here run. One coordinator at Asia Relocation Vietnam holds the host company's documents, the sponsorship history and each traveller's file, so the second trip never starts from a blank page.
My trip has been brought forward. What is the first thing to fix?
The invitation, before anything else. Asia Relocation Vietnam opens that part first. We open that conversation first and build the rest around what it produces.
I am already in Vietnam and the work has grown. Can the stay be extended?
Renewal and extension are part of what we handle, and we read them against the same two questions as the first application: what the visit is for, and who stands behind it. We look at your case while there is still room to act.
What does a business visa file cost?
Quoted in writing against your trip: how many travellers, whether the host company has sponsored before, and whether an extension is likely. We publish no figure, because one figure cannot be right for a single meeting and for a standing audit programme.
